What adds up at a trade show

“How much does a trade show booth cost?” has two answers: the price of the booth itself and the total budget for your appearance. The booth is only one part of it. Plan for these items:

Cost itemWho charges it?At EXPRESS
Floor space (stand rental)Trade fair organiser, price per m², depending on show and locationnot included, booked directly with the organiser
Mandatory fees and connectionsTrade fair organiser, e.g. media or marketing fee, power, exhibitor passesnot included

Transport and deliveryBooth builder or forwarder, depending on distancelogistics costs, shown separately in the quote

Wall graphic designAgency or booth builderoptional from €500, or supply your own print files
Staff, travel, hotelYour companynot part of the booth price
Invitations, advertising, giveawaysYour companynot part of the booth price

You always book the floor space directly with the trade fair organiser, no matter who builds your booth. The price per square metre and any mandatory fees are listed in the exhibitor documents of each show. Many organisers charge extra for corner and peninsula spaces; at EXPRESS all three booth types cost the same.

What does a trade show booth cost per square metre?

Converted to floor space, an EXPRESS booth comes to about €305 to €670 net per m². Larger booths are cheaper per square metre, because planning, setup, dismantling and project management don’t grow at the same rate.

Net per show, excl. VAT and logistics costs. The PLUS, PRO and MAX upgrades cost €1,000, €2,000 and €3,000 more.
SizeFloor spaceFixed price STANDARDPrice per m²
S9 to 16 m²from €5,999about €375 to €670
M18 to 25 m²from €7,999about €320 to €445
L25 to 36 m²from €10,999about €305 to €440

A pure price per square metre can still be misleading when comparing offers. What matters is what’s included: at EXPRESS the booth system, full-surface printed walls, lighting, carpet, setup, dismantling and project management are part of the price. With many offers, exactly these items are charged separately.

Rent, buy or custom build?

There are three ways to get a booth. Which one pays off mainly depends on how often you exhibit and how much work you want to handle yourself.

Rent a system boothBuy a system boothCustom build
Upfront costnone, fixed price per showhigh one-off investmentbuilt for your brand, usually the most expensive option
Cost per additional showsame fixed price, cheaper with volume discountlogistics, setup, dismantling, new graphicsstorage, setup, dismantling, adjustments

Flexibilitysize and booth type free for each showtied to the size you boughttied to the booth that was built
Lead timeshort, pre-configured systemproduction before the first showlong planning and production
Best for1 to 5 shows a year, little in-house effortmany shows in the same formatlarge appearances with special requirements

For most companies with one to five shows a year, a rented system booth is the most economical option: no capital tied up, no storage costs, one fixed price per show. Check it with your own figures in the rent or buy calculator.

How to lower your trade show costs

  • Bundle several shows. Book several shows a year with EXPRESS and pay 5 % (2 shows), 10 % (3 to 4) or 15 % less per booth (5 or more), with no annual fee and no commitment. Example: a size L PRO booth starts at €12,999 per show. With three shows a year and 10 % off, it starts at €11,699 per show, about €3,900 less in total. See volume discount
  • Choose the right size. A booth at the top end of a size is much cheaper per m². At EXPRESS, 16 m² start at the same price as 9 m².
  • Consider a corner booth. Two open sides attract more visitors. At EXPRESS it costs nothing extra; only the organiser often charges more for the space.
  • Supply your own print files. If your agency designs the wall graphics, you save the design fee. We send templates with all dimensions.
  • Check for funding. German companies can apply for support at selected trade fairs, usually on joint pavilions rather than their own booth. More on our page for startups.

Frequently asked questions about booth costs

How much does a small trade show booth cost?
A small booth of 9 to 16 m² costs from €5,999 net per show at EXPRESS as a fixed price. It includes the booth system, full-surface printed walls, lighting, carpet, setup, dismantling and project management. Logistics costs come on top and are shown separately in the quote, depending on the location.
How much does a trade show booth cost per m²?
A rented EXPRESS system booth costs about €305 to €670 net per m², depending on size. Small booths cost more per m² than large ones: size S is about €375 to €670, size L about €305 to €440. Floor space from the organiser is not included.
What costs come on top of the booth price?
On top of the booth come the floor space and mandatory fees of the trade fair organiser, logistics costs for transport and delivery, optional extras such as furniture or a screen, and your own costs for staff, travel and hotel.
Is the floor space included in the price?
No. Exhibitors always book the floor space directly with the trade fair organiser. The EXPRESS fixed price covers the complete booth with setup and dismantling, not the space in the hall.
How high are the logistics costs?
Logistics costs depend on distance and the trade fair location. We list them separately from the fixed price in the quote, so you see exactly what the booth costs and what transport costs. You usually receive a quote within 24 hours.
Is it worth buying a booth instead of renting?
Buying usually only pays off if you exhibit very often in the same format and handle storage, maintenance and logistics yourself. For one to five shows a year, renting at a fixed price is usually cheaper and more flexible.
